You as a Board member owe it to your community to choose a management company that is comprised of experienced managers and support staff dedicated to giving you the best possible service at a fair price. We don’t want to be the biggest management company in the area----just the BEST!
All incoming and outgoing correspondence from owners and vendors are managed and filed. Notices and special mailings will be prepared and mailed to owners in accordance with the Florida Statutes. Hard copies of all files are maintained and stored and also uploaded to the Association website.
Issue monthly assessment statements to owners, listing recent transactions and total outstanding balance.
Accept and process all payments from owners, either through check, money order or ACH (electronic debit). All revenues are deposited into Association’s operating account on a daily basis.
Track revenue on a daily basis, follow-up on delinquent owners, assess late fees when applicable.
Advise the Board when it is appropriate to place a lien against delinquent owners, and upon Board approval, will contact Association’s attorney to initiate foreclosure process.
Respond to all calls, letters and emails from owners in regards to their account. “Account History” report can be made available upon an owner’s request.
Accept, review and process invoices. Payment is only made after invoices are verified and signed by your Manager.
Setup and maintain electronic payments with utility companies.
Checks are processed weekly and prepared for Board signature with a copy of each invoice and a check register (when requested.)
Correspond with vendors regarding their invoices. New vendors are checked for all licensing and insurance requirements.
Current vendors are checked periodically for licensing and insurance requirements as required by Florida law.
All accounts and funds are managed (operating, reserve, investment).
Association’s accounts are reconciled on a monthly basis (or in accordance with the receipt of bank statements). Upon a Board member’s request, management can provide contacts with investment/banking institutions which specialize in Association investments. (e.g. CD’s, money market accounts).
Provide monthly financial report to all Board members who request a copy. Report consists of all accounts and includes Balance Sheet, Revenue and Expenses (P&L), Bank Reconciliation, Check Register, as well as additional supporting materials as requested by the Board.
Provide monthly delinquency report to Treasurer and all Board members who request it.
Tuttle Enterprises understands the importance of good financial reporting. The monthly financial reports are the lifeblood of association management. We make sure they are easy to read and always accurate. We pride ourselves for generating some of the best financial reports in the area.
Manager prepares and submits to the Board, a proposed annual budget, approximately 120 days before the fiscal year end.
Upon approval of the Board, revise and mail all approved budget to all owners, in accordance with the Florida Statues.
Prepare annual tax returns for the Association or coordinate annual tax preparation and financial review with the Association’s CPA.
Process vendor 1099 forms and submit to the IRS. Coordinate with the Board and prepare reserve study if requested.
Upon request of an owner, escrows and refinances are processed from beginning to end.
Tuttle Enterprises believes that superior community appearance takes vigilance. Routinely examining the common areas and facilities are necessary to keep up the appearance of an association. To take action involves vendor bidding, contract negotiation and contractor oversight. We excel at these tasks because we know the local vendors, their reputation, work experience and reliability. Your manager can help ensure that work specifications are detailed enough to secure the most cost-effective bids to do the work.
All maintenance requests are processed and monitored by the Manager.
Routine requests are forwarded to the appropriate vendor for handling.
Non-routine and special requests are forwarded to the Board for approval before proceeding.
At request of the Board, obtain a minimum of 3 bids on projects over Board approved dollar amount.
